Privacy policy
What we collect on floms.com, why, who we share it with, and the choices you have.
1. Who we are and what this policy covers
Floms, Inc. ("Floms", "we", "us") builds software products and provides engineering and consulting services. We are the controller of the personal information described in this policy. You can reach us at PO Box 724273, Atlanta, GA 31139, USA, or at privacy@floms.com.
This policy applies to floms.com and everything you do on it: reading pages, using the chat assistant, sending a contact or consultation request, subscribing to the newsletter and contacting us about careers.
It does not cover the separate websites and applications of our products or partners (for example Loxti, Proplox, Andarvi, Domain Curious or the Coptev platforms). Those have their own privacy policies, which apply when you use them.
2. Information we collect
Information you give us
- Contact and consultation requests: your name, email address, phone number, the service you are interested in and the message you write.
- Chat assistant: the messages you send, your answers to its questions, and your name, email address or phone number if you choose to share them, along with the page you were on.
- Newsletter: your email address.
- Careers and other emails: whatever you include, such as a résumé or links.
Please do not send us sensitive information (such as government ID numbers, financial account details or health information) through the forms, the chat assistant or email. We do not need it to respond to you.
Information collected automatically
When you visit, our servers and our service providers receive technical data such as your IP address, browser and device type, language, the pages you view, the page that referred you, the date and time, and an approximate location derived from your IP address. Some of this is collected using cookies and similar technologies (see Cookies and analytics below).
Information from others
We do not buy personal information about website visitors. If you reach us through another channel, such as a professional network or an email introduction, we receive what that channel provides.
3. How we use information
- To respond to your questions, requests and consultation inquiries, and to prepare proposals and quotes.
- To operate the chat assistant, route your conversation to the right person and follow up with you.
- To send the newsletter and announcements you asked for. You can unsubscribe at any time.
- To understand which pages and features are useful and improve the website (analytics, only if you accept).
- To keep the website, our forms and our team safe, including preventing spam, abuse and fraud.
- To comply with legal obligations, resolve disputes and enforce our agreements.
The chat assistant is automated software. Conversations are stored and may be read by our team, for example to follow up on a request or to improve the assistant.
4. Legal bases (EEA, UK and similar regions)
If the law of your region requires a legal basis for processing, we rely on:
- Consent, for analytics cookies and for marketing emails. You can withdraw consent at any time.
- Performance of a contract or steps before one, when you ask us for a quote or services.
- Legitimate interests, such as answering inquiries, securing our systems and understanding how our website is used, balanced against your rights and expectations.
- Legal obligation, where we must keep or disclose information by law.
7. How long we keep information
We keep personal information only as long as needed for the purposes above and to meet legal requirements:
- Contact, consultation and chat records are kept while we are in discussion with you and for a reasonable period after, then deleted or anonymized.
- Chat conversations are removed automatically after a retention period we configure in the chat platform.
- Newsletter addresses are kept until you unsubscribe.
- Analytics data is kept according to the retention settings we choose in Google Analytics.
- We may keep information longer where the law requires it or to establish, exercise or defend legal claims.
8. Security
We use reasonable administrative, technical and physical safeguards to protect personal information, including encrypted connections, access controls and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, and you share information with us at your own risk. If a breach affects you, we will notify you and regulators as required by law.
9. International transfers
Floms is based in the United States, and our service providers may process information in the United States and other countries. If you are in the European Economic Area, the United Kingdom or Switzerland, we use appropriate safeguards for transfers where required, such as standard contractual clauses.
10. Your rights and choices
Depending on where you live, you may have the right to:
- know what personal information we hold about you and request a copy;
- correct information that is inaccurate or incomplete;
- request deletion of your information;
- object to or restrict certain processing, and request portability of data you gave us (EEA, UK and similar);
- withdraw consent, for example for analytics cookies or marketing emails, without affecting earlier processing;
- opt out of the sale or sharing of personal information (we do not sell or share it, as described above);
- not be treated unfairly for exercising these rights.
California residents have the rights above under the CCPA/CPRA, and residents of other US states may have similar rights. People in the EEA and UK may also lodge a complaint with their local data protection authority.
To exercise a right, email privacy@floms.com with "Privacy request" in the subject and tell us what you would like. We may need to verify your identity first, and an authorized agent may submit a request on your behalf with your permission. We respond within the time required by law, and we may decline requests the law allows us to decline, in which case we will explain why. To stop marketing emails, use the unsubscribe link in any message.
11. Children
Our website and services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
12. Links and third-party services
Our website links to other sites and services, including our products and partners. We do not control them and are not responsible for their content or privacy practices. Please read their policies before you share information with them.
13. Changes to this policy
We may update this policy as our website, services or the law change. We will post the new version here with a new "last updated" date and, if the changes are material, take additional steps such as a notice on the site. Your continued use of the website after an update means you accept the updated policy, except where the law requires otherwise.
